Business Management

Process consulting, operations support, workflow planning, documentation and organisation, digital setup assistance and website/content coordination — what each involves and how an engagement works.

Business team reviewing operations around a table

Most businesses are good at the work they sell. What slows them down is everything around that work: processes that were never written down, documents that are hard to find, tools that were set up quickly and never reviewed, and a website that was meant to be updated months ago. The business management service at My Geeks LLC exists to bring order to that supporting layer, so that owners and managers can run the business rather than constantly react to it. This page sets out exactly what the service includes, how an engagement works, what it does not cover, and how it is priced.

We want to be precise, because the phrase 'business management' is used loosely elsewhere. Our service consists of six defined activities: business process consulting, business operations support, business workflow planning, business documentation and organisation, digital business setup assistance, and business website and content coordination. We are not accountants, lawyers or tax advisers, and nothing we provide should be treated as advice in those regulated fields. Where your business needs those professions we will say so and work alongside them. Our role is to help you understand how your business currently operates, decide how it should operate, document that clearly, and keep it running that way.

Business process consulting is usually the starting point. We meet with you — in person where practical, by video call where not — and map how work moves through your business from the first customer contact to the final invoice. We record who does what, in which order, using which tools, and where delays or errors tend to occur. Many owners have never had the time to lay this out, and the exercise alone often reveals duplicated steps, approvals that wait on one overloaded person, and information that is re-typed from one system into another. We deliver a plain written description of the current process together with a prioritised set of practical recommendations that you can act on.

Business workflow planning turns those recommendations into a working design. For each important activity — taking an order, onboarding a client, handling a complaint, closing the month — we set out the steps, the responsibilities, the hand-offs and the tools involved, in a form that a new member of staff could follow. We keep the plan proportionate to the size of the business. A two-person studio does not need the procedures of a large corporation; it needs a small number of clear routines that are actually followed. Where a simple digital tool would remove a manual step, we recommend one and explain why. We never recommend software for its own sake.

Business documentation and organisation is the methodical work of getting your company's records into a state where they can be found, trusted and kept current. This means a sensible folder structure, naming conventions people will actually use, templates for documents you issue repeatedly — quotations, proposals, onboarding letters, checklists — and a clear record of where important information is stored. It also means retiring documents that are obsolete. The goal is a business that does not depend on one person's memory and that could pass an audit, an inspection or a staff handover without a week of searching.

Business operations support is the ongoing form of the services above. Some clients want a plan and then prefer to run it themselves. Others want continuing support month after month. For those clients we keep the documented processes current as the business changes, prepare for and follow up on recurring tasks, coordinate with suppliers and service providers on your instruction, maintain the organisational records, and raise issues early. The scope of operations support is agreed in writing at the start so that both parties know what is covered, and it is reviewed at regular intervals as your needs develop.

Digital business setup assistance addresses a common situation: business tools were adopted one at a time, by whoever was nearest, and nobody owns the overall picture. Email on one provider, files on another, a calendar that does not connect to the booking system, passwords in a notebook. We help you select a sensible set of tools for your size and budget, set them up properly — business email, shared storage, calendars, basic customer records, document signing, and whatever else the business genuinely needs — and configure them to work together. Every account is created in your company's name and under your control. We assist with the setup; you own the result.

Business website and content coordination connects this service to our website development work. A website that nobody looks after soon becomes inaccurate. Many owners know their site needs a new page, an updated service list, a fresh photograph or corrected opening hours, and never find the time. We take on the coordination: gathering content from you or your team, preparing it for publication, briefing the developer — whether that is us or another provider — checking the result and recording what changed. For businesses that publish regularly, we can maintain a simple content calendar so the website stays current without the owner having to manage it.

An engagement follows a simple sequence. It begins with an enquiry and a discovery call, during which we learn about your business and you learn how we work. We then prepare a written proposal describing the scope — which of the six activities are included, what the deliverables are, how long the engagement will last or how it will recur, what is excluded, and what the fee is. Retainer arrangements state how they are billed and how they can be ended. Once you approve the proposal in writing, we agree a start date and begin. Progress is reported in plain English at agreed intervals, and the scope can be adjusted by mutual written agreement as the business evolves.

It is equally important to state what we do not do. We do not provide legal, tax or accounting advice. We do not process payroll or make statutory filings. We do not take control of your bank accounts or make financial decisions on your behalf. We do not sell software; where third-party tools are needed, you subscribe to them directly and we help you configure them. We do not provide computer or device servicing of any kind. And we do not promise outcomes we cannot control, such as a specific increase in revenue. A responsible adviser describes the work, not a guaranteed result.

Pricing for business management services is by written quotation. Engagements vary too widely for a published list to be meaningful: a one-off process review for a sole trader is a different undertaking from ongoing operations support for a company with a dozen staff. Defined projects are billed as a set fee, normally in two milestones — fifty percent on acceptance and fifty percent on completion. Ongoing support is billed as a monthly retainer, invoiced in advance, which can be ended by written notice at the close of the current billing month. The figure and the billing arrangement are stated in the proposal before you commit to anything. There is no charge for the initial conversation or the proposal.

This service is for owner-managed businesses that have grown beyond what one person can hold in their head; for professional practices that want their administration to match the quality of their work; and for new businesses that would rather set things up properly from the start than untangle them later. If that describes your situation, request a quote through our Contact page, send us an email, or telephone during business hours. We will listen first, and then tell you clearly what we think would help.
